What you'll accomplish
By the end of this guide, you'll be able to draft any vendor email — short shipment credit requests, pricing discrepancy follow-ups, out-of-stock escalations, order adjustments — in under 3 minutes. You'll also have a system for tracking vendor issues in writing so disputes don't get lost.
What you'll need
Go to chatgpt.com. Start a new chat.
What you should see: A chat interface with a text box at the bottom.
Don't overthink the input — just list the facts quickly. For example:
Type:
Draft a professional vendor email about the following issue. Keep it short and factual. Include a clear request for action.
Vendor: [vendor name]
Issue: [describe the problem]
What I need: [credit / replacement / information / confirmation]
Any reference numbers: [invoice #, PO #, delivery date if relevant]
Press Enter. ChatGPT generates a complete email in under 5 seconds.
Read the email. Check that:
Copy the email, paste into Outlook or Gmail, add the vendor's email address, and send.
Create a simple note or Google Sheets tab titled "Vendor Issues." Every time you email about an issue, log: Date | Vendor | Issue | Amount | Status. This is your paper trail if vendors dispute credits or patterns need to be escalated to your store director.
Short shipment credit request: "Draft a vendor email requesting credit for a short delivery. [Vendor name], ordered [X], received [Y], date: [date]. 3–5 sentences."
Pricing discrepancy: "Draft a vendor email about a pricing discrepancy. Was invoiced at $[price] per case but our agreement is $[price]. Requesting corrected invoice or credit. [vendor name]"
Out-of-stock escalation: "Draft a vendor email asking for ETA on a backordered item. [Item name] has been out of stock for [X days]. We have customer demand. When will it be available? [vendor name]"
Delivery schedule change request: "Draft a professional email requesting a delivery time change. Our current delivery is [day/time] and we need to change to [day/time] due to [brief reason]. [vendor name]"
Confirmation follow-up: "Draft a follow-up email checking on the status of a credit I requested [X days] ago. Original email sent [date] about [issue]. [vendor name]"
